Searches for "what is n8n and how does it work", "n8n AI agent" and "n8n pricing" rose sharply through October 2026 in the UAE and the US. Most of the people searching are not developers. They are business owners who heard that n8n can answer leads, update a CRM and run an AI agent for a fraction of what Zapier costs, and they want to know if that is true. This guide explains n8n in plain English, what it costs, and when to build it yourself or hire someone.
What is n8n?
n8n (pronounced "n-eight-n", short for "nodemation") is a workflow automation platform. You connect apps and AI models on a visual canvas, and n8n moves data between them automatically: a new lead arrives, n8n checks it, adds it to your CRM, sends a WhatsApp reply and alerts your sales team, without anyone copying and pasting.
It was founded in Berlin in 2019 by Jan Oberhauser. The code is "fair-code" under n8n's Sustainable Use License: you can read it, modify it and run it on your own server for your business, but you cannot resell n8n itself as a hosted service. In October 2025 n8n raised a $180 million Series C at a $2.5 billion valuation, so it is no longer a niche developer tool. It is one of the main automation platforms businesses choose in 2026.
How does n8n work?
An n8n workflow is a chain of nodes. Each node does one job, and the output of one node becomes the input of the next.
- Trigger node. What starts the workflow: a form submission, a new Meta lead ad lead, a WhatsApp message, a webhook, a schedule such as every morning at 8:00, or a row added to a Google Sheet.
- Action nodes. Hundreds of built-in integrations: Google Sheets, Gmail, Slack, HubSpot, GoHighLevel through its API, Stripe, Airtable, OpenAI, Anthropic and more. Anything with an API can be reached with the HTTP Request node.
- Logic nodes. IF, Switch, Merge, Wait and Loop nodes decide what happens next, for example "if the lead's budget is over AED 10,000, send it to the senior sales rep".
- Code nodes. Optional JavaScript or Python for anything the visual nodes cannot do.
- AI Agent node. Connects a language model to tools (your calendar, CRM, a knowledge base) and memory, so the workflow can read a message, decide what to do and act on it.
Each time a workflow runs from trigger to end, n8n counts one execution, however many steps it has. That pricing detail matters later.
n8n AI agents: what they can do for a business
The AI Agent node is the reason n8n is trending. An agent in n8n is a language model with instructions, memory of the conversation, and tools it is allowed to call. Practical examples for service businesses:
- Lead qualification. A new lead from a Facebook lead form gets a WhatsApp message within seconds; the agent asks budget, timing and location, scores the lead and books qualified ones into the calendar.
- Inbox triage. Incoming emails are classified (sales, support, invoice, spam), summarised and routed, with draft replies waiting for approval.
- Customer support. The agent answers common questions from your own documents and hands the conversation to a person when it is unsure.
- Reporting. Every Monday, ad spend, leads and bookings are pulled from Meta, Google and the CRM into one summary message.
Speed is where this pays. When I ran Meta campaigns for an education institute in Dubai, they generated 69,667 WhatsApp leads at AED 1.41 each. At that volume, no team can reply to every lead by hand in the first five minutes, and the leads that wait go cold. An agent that replies, qualifies and books instantly protects the money spent on the ads. That is the job I set up for clients with WhatsApp AI chatbots and AI agents.
n8n 2.0, released in December 2025, tidied up the editor and changed how sub-workflows are published, which makes larger agent setups easier to maintain. Workflows built on older versions may need small changes after upgrading.
How much does n8n cost?
n8n is free if you host it yourself, and paid if n8n hosts it for you. Cloud prices below are as listed in October 2026 when billed annually; monthly billing costs about 20% more. Check n8n's pricing page before you buy, because plans change.

Self-hosting is not truly free. A small virtual server (VPS) from a host such as Hostinger, DigitalOcean or Hetzner typically costs a few dollars to a few tens of dollars a month, several hosts offer one-click n8n templates, and someone has to handle updates, backups and security. AI agents also add the cost of the language model you connect, such as OpenAI or Anthropic, billed separately by that provider.

The pricing model is the practical difference. A 10-step workflow that runs 1,000 times a month is 1,000 executions in n8n but around 10,000 tasks in Zapier. For long, high-volume workflows such as lead handling, n8n is usually much cheaper. For three or four simple automations, Zapier's simplicity can be worth the higher price.
Build it yourself or hire an n8n expert?
- Write down the process firstList the steps a person does today, who does them and how long they take. Automate the most repeated, most time-sensitive one first, usually lead follow-up.
- Try a templaten8n has a large template library. If a template covers 80% of your process and you are comfortable with logic like "if this, then that", building it yourself is realistic.
- Decide on hostingChoose n8n Cloud if nobody on your team will maintain a server. Choose self-hosting if you have technical help, high volumes or strict data rules.
- Hire when it touches money or customersWorkflows that reply to leads, book appointments, take payments or update your CRM need error handling, retries and monitoring. A broken one silently loses leads, which costs more than the build.
